Fair Manager

Job Title: Fair Manager

Salary – $18,000.00

Position Summary:

The Fair Manager is a dynamic and results-oriented individual responsible for overseeing the planning, organization, and execution of the annual county fair event, managing the day-to-day business of the Fair Association including public relations, fairgrounds usage, and implementation of Board of Director initiatives. This role requires exceptional organizational skills, effective communication, and the ability to manage a demanding workload during the peak fair season. The Fair Manager will collaborate closely with the Board of Directors, vendors, exhibitors, volunteers, and the local community to ensure the success of the fair event and maximize the utilization of the fairgrounds throughout the year.

Crucial to this position is the ability to communicate with diverse personalities at all levels of the organization, while remaining flexible, proactive, resourceful and efficient, with a high level of maturity and professionalism. Expert written and verbal communication skills, strong decision-making ability, exceedingly well organized and attention to detail are also equally important.

Essential Duties and Tasks:

Annual Fair Event:

  • Lead the comprehensive planning, coordination, and execution of the annual county fair event.
  • Develop and manage a detailed project plan, including timelines, and tasks, to ensure a successful and memorable fair experience for attendees, vendors, exhibitors, and participants.
  • Coordinate with various departments, committees, and volunteers to ensure all aspects of the fair are executed smoothly, including entertainment, food vendors, exhibitions, contests, and attractions.
  • Collaborate with local authorities and agencies to ensure compliance with permits, regulations, safety standards, and health guidelines.
  • Oversee marketing and promotional activities to generate excitement and attendance for the fair event.

Fairgrounds Facility Rental Program:

  • Manage the year-round, facility rental program for the fairgrounds, coordinating bookings, contracts, and scheduling for events such as livestock shows, meetings, motorsports events, and community gatherings.
  • Serve as the main point of contact for rental inquiries, providing exceptional customer service and addressing clients’ needs and preferences.
  • Collaborate with maintenance and facilities teams to ensure the fairgrounds are properly prepared and maintained for each rental event.

Stakeholder Engagement & Leadership:

  • Build and maintain strong relationships with vendors, sponsors, exhibitors, and community partners to enhance the fair event’s offerings and impact.
  • Foster a positive working environment for volunteers, ensuring their contributions are recognized and valued.
  • Supervise and encourage volunteer efforts, providing guidance and support throughout the planning and execution of the fair event.

Communication and Public Relations:

  • Represent the fair association in public and media relations activities, acting as a spokesperson when necessary.
  • Communicate updates, announcements, and information about the fair event to various stakeholders through multiple channels.

Minimum Qualifications:

  • Bachelor’s degree in Event Management, Hospitality, Business Administration, a related field or equivalent experience in lue of. 
  • Exceptional organizational and multitasking abilities, with a strong attention to detail.
  • Effective communication skills, both verbal and written.
  • Ability to work under pressure and manage a demanding workload during the peak fair season.
  • Strong interpersonal skills for building relationships with stakeholders and managing diverse teams.
  • Familiarity with local regulations, safety standards, and health guidelines related to events.
  • Flexibility to work extended hours and weekends during the fair event and peak rental seasons.
  • Proven experience in event planning, project management, or a related role is preferred.

Schedule:

  • This is a part-time position with a strong seasonal demand from mid-July to mid-September.
  • Requires flexibility to work extended hours, including weekends and evenings, during the fair event and during other select times.

Reporting Responsibility:

When the Board of Directors is Convened:

When the Board of Directors is convened, the Fair Manager is responsible for providing a comprehensive report on the planning, organization, and execution progress of the annual county fair event and the management of any other Fair Association business.

When the Board of Directors is Not Convened:

In cases where the Board of Directors is not convened, the Fair Manager’s reporting responsibility belongs to the President of the Board. The Fair Manager should maintain regular communication with the President and provide updates on a frequent basis.

Annual Performance Review:

An annual performance evaluation will be conducted in October of each year by the Board or its designated evaluator. The evaluation meeting is conducted within the month, allowing for feedback, goal setting, and planning to be completed before the next year’s fair event planning begins.
